Privacy notice

Personal information should be limited, purposeful and protected.

This notice explains the website data Kheya currently collects. It is written for parents and guardians; students should ask a parent or trusted adult for help if anything is unclear. Last reviewed: 26 September 2026.

01

What Kheya collects

For parent enquiries, Kheya collects parent contact details and limited placement information such as qualification, subject, level, goals and availability. For teacher applications, Kheya collects professional and contact information supplied by the applicant. The site also records aggregate page and action counts, broad country, device and referral information, plus performance bands for loading, responsiveness and visual stability. Form contents are not stored in analytics.

02

Why it is used

Information is used to respond to enquiries, assess placement, manage requested discussions, review teacher applications, operate the service safely and understand which public pages and actions are useful. Kheya does not use enquiry answers for advertising analytics.

03

Team chat and WhatsApp

If you choose to message the Kheya team, Kheya stores your name, email and conversation in its protected inbox so authorised staff can respond. A necessary browser cookie keeps your website conversation available on the same device for 30 days. If you contact Kheya through WhatsApp, your messages and WhatsApp identifier are delivered through WhatsApp Business Platform to the same protected inbox once that channel is connected. Do not send sensitive learner, medical, payment or safeguarding details in general chat. The AI programme guide's conversation is not automatically copied into team chat; you choose the message you send.

04

Children and data minimisation

The initial enquiry must be made by a parent or guardian. Do not submit medical, safeguarding, payment or other sensitive information through the general form. A future learning-preferences profile will be voluntary and separated from the general enquiry. Information about health, disability or diagnosis requires particular protection and will be collected only when needed through an appropriate process and notice.

05

Recordings, transcripts and learning preferences

Before any cohort recording is enabled, Kheya must confirm the recording notice, authorised viewers, access controls and retention period. The intended model is cohort-restricted streaming, with downloads disabled by default and a planned 30-day availability period. Teacher-approved summaries may be retained separately as learning records. Recordings, transcripts and sensitive learning preferences will not be used to train public AI models or placed into unrestricted tools.

06

Access, sharing and retention

Website submissions are available only through Kheya’s protected administrative workspace to authorised people. Information may be handled by hosting and service providers acting for Kheya where necessary. Kheya will retain records only while needed for the stated purpose, legal obligations, safety and dispute handling; operational retention periods must be finalised before full enrolment opens.

07

Your rights and contact

You may ask Kheya about personal information held about you and request correction or deletion where applicable. Use the contact form and state that your message concerns privacy. You can also find independent guidance from the UK Information Commissioner’s Office at ico.org.uk.
